Using Groups

The Groups feature is a powerful way to segment your team roster and recruit database. Groups can be used throughout the WinWon platform to streamline scheduling, participation tracking, and communication. Here’s how to use them effectively.

Create groups to reflect the natural structure of your team or recruiting workflow. Popular examples include:

Roster-Based Groups
- Varsity, JV, Varsity Reserve
- Position-based groups like Offense, Defense, Infielders, Attackers, Quarterbacks
- Class year groups like First-Year, Sophomore, Senior
- Leadership groups like Captains
Recruiting Groups
- By graduation year or recruiting class
- By recruiting stage (e.g., Contacted, Offered, Committed)
- By event (e.g., athletes attending the same tournament)

Pro Tip: Use consistent naming conventions so groups are easy to search and manage across the platform.

Groups aren’t just for organization—they drive functionality across the system:

Calendar Scheduling
- Invite specific groups (e.g., just JV, just QBs) to the right events
- Reduce confusion and keep calendars relevant for athletes
Participation Tracking
- Filter attendance by group (e.g., only JV participants for a scrimmage)
- Makes post-event tracking more efficient and targeted
Communication
- Email specific groups through the web app for tailored updates
- Text a subset of athletes or recruits via mobile to keep outreach focused
- Send Announcements to the Student-Athlete App for just the right group
  - Need to let the offensive line know about a schedule change? Send an announcement to just that group.
Student-Athlete App Visibility
- Athletes only see events they’re invited to. Use groups to ensure they receive only the info that’s relevant to them.
- For example, a wide receiver shouldn’t see QB-specific practices—so only invite the QB group.
